ONWARD CLIENT PORTAL

Privacy Policy

Effective October 7, 2026

Onward Marketing provides Choosing Onward so independent business clients can review website work, leave feedback, plan social posts, and reach project services from separate private workspaces.

Information we process

We process the email address connected to your invited account, authentication and security records, workspace access, and content you choose to submit, such as comments, replies, social post drafts, and media. The portal also stores saved website captures and project resources supplied by Onward for your workspace. If an Onward administrator connects a social account, we store the selected business, Page, Instagram, YouTube channel, Google Business Profile location, or approved TikTok pilot account identifier, along with encrypted authorization tokens.

How we use information

We use this information to authenticate you, provide the workspace, protect client data, respond to support requests, and maintain a record of website feedback and social post decisions. A connected social account is used only for the posting, account, and read-only reporting features Onward enables. We do not sell personal information or use portal activity for advertising or cross-app tracking.

YouTube API Services

Choosing Onward uses YouTube API Services after an authorized Onward administrator approves Google’s permission screen. The portal accesses the selected YouTube channel’s identifier and name, reads aggregate channel performance such as views, watch time, engagement, subscriber movement, top videos, and available audience demographics, and uses the YouTube upload permission to send an administrator’s chosen video, title, description, category, audience designation, altered-content disclosure, and visibility setting to that channel. We store the channel identifier and name, an encrypted authorization token, the submitted video metadata, and the returned YouTube video identifier, visibility, and delivery status. Analytics results are retrieved for the administrator’s selected reporting period and may be cached for up to 15 minutes. We use this information only to provide the requested connection, reporting, upload, scheduling, and delivery-record features. We do not sell YouTube API data or use it for advertising.

YouTube information is handled under this policy and Google’s Privacy Policy. An Onward administrator can use Disconnect & delete data in Account Settings to revoke Google’s permission and remove the saved YouTube connection, authorization token, upload sessions, and YouTube delivery records from the portal. A user may also revoke access through Google Account connections. We remove stored authorized YouTube data as soon as possible and within seven calendar days after a valid revocation or deletion request. Removing portal data does not delete videos or other information stored by YouTube; those items must be managed in YouTube.

Service providers and external links

We use service providers to host the portal, manage authentication, and deliver account email. Workspace links may open Google Drive, Looker Studio, Stripe, or Calendly. Connecting Facebook and Instagram uses Meta’s login and APIs; connecting YouTube or Google Business Profile uses Google’s login and APIs; connecting TikTok uses TikTok Login Kit and its account API. If an authorized Onward administrator asks the review assistant for a draft, the Google review text, rating, and reviewer display name are sent to OpenAI to generate that draft. The portal requests that the response not be stored by the model service. The draft is never posted automatically and may be edited or discarded. Those services process information under their own privacy policies when you choose to use them.

Retention and security

We keep account and project information for as long as needed to provide the portal and maintain client project records. Access is limited by invited email and client workspace. Security measures include encrypted HTTPS connections, restricted sessions, and workspace-level access controls. Social account tokens are encrypted at rest and can be revoked through the connected provider’s account settings.

Your choices

You can change your password or permanently delete your account from Account Settings. Account deletion removes your login and workspace memberships. Past project comments may remain as an anonymous project record. An Onward administrator can remove the YouTube connection and its saved YouTube data directly from Account Settings. Other social access can be revoked in Meta Business Settings, Google Account connections, or TikTok’s connected app settings. You may contact us to ask about your information, request deletion of stored data, or request help.
